Step-by-Step Guide To Import Data Into Insightly
To import the data into Insightly, you need to prepare your file before you can import your records. While importing, you may notice more options for different records, but the procedures remain the same.
When you do it for the first time, use a file containing only a few of your entries to test the import.
Step 1: Prepare Data
- Organize your data in a format that Insightly supports such as CSV format or Excel form.
- Make sure that your data includes all the necessary details required in Insightly.
Step 2: Log In To Insightly
Go to the Insightly website and log in to your account.
Step 3: Import Records
- First, import records or choose the Object tab to select the type of data that you want to import.
- In the sidebar, click on the data import link. If the sidebar is not being displayed on the screen, click the Show Sidebar icon.

- Sometimes while importing the data or records, you will not require this step. If the step is displayed on the screen then you must select one import method to continue the process.
- Here, we want to import data & then choose to import data from a CSV file.

Step 4: Upload File
Now select the file that you want to import and click Next.

Step 5: Import Options
You will need to choose one import option from the three given options:
- Create New Record: You can create new records by excluding some that Insightly locates as duplicates.
- Update Existing Record: Update those records in your file that match the record ID field and ignore all others.
- Create New Record and Update Exiting Record: Add all the additional records by skipping duplicate ones and updating the records that match the record ID field.

Step 6: Field Mapping
- If there is no header row in your file, uncheck the Skip the first row when importing option.
- To initiate AppConnect Recipes or workflow automation tasks, choose the Trigger Automations checkbox. Workflow automation rules, actions, and related AppConnect recipes that apply to these records and are relevant to the data you are importing will not be handled if they are not verified.
- To select whether to send these record change alerts, click the Send Notifications button. Notifications of record changes will not be delivered by default.
- Click on Next.

Step 7: Importing Records With Tag
- Three columns will be shown by Insightly: the first entry in your file, headers from your file, and Insightly fields. For every column in your file, choose or confirm the Insightly Field.
- You can explore Importing records with tags if you are importing tags with your records.

Step 8: Click on Start
- To start importing data, click on the Start button.
- A confirmation message will be displayed on your screen after successfully importing data.
- You will be notified that the process has been completed (or if any issue arises) vie email within a few minutes.
