Big and small businesses are looking for excellent customer relationship management (CRM) platforms to increase sales and strengthen customer relationships. If you’ve been trying to determine whether Apptivo is a good CRM for your company, you’re in the right place.

This is an in-depth review of Apptivo, a CRM I’ve tested and used for a while. I’ll discuss what Apptivo does for your business, its key features, pricing plans, and apps you can integrate. Before you decide, it’s best to go through this review.

What Does Apptivo CRM Do?

Apptivo is a CRM software that helps you grow your business. It helps you with marketing, sales, customer services, and managing contacts. When you install Apptivo and use a CRM for the first time in your business, you’ll notice less manual work.

It brings new practices, strategies, and advanced technology systems to help manage administrative work. The workflow is faster with customer data analysis and management done on one software. These quick results increase customer satisfaction, leads, and sales growth.

Apptivo has a straightforward website that’s easy to use. As you navigate, you’ll find its excellent ticketing system, which helps enhance your return on investment. It allows the integration of over 27 third-party apps. The platform’s tools are neatly grouped underneath invoices, opportunities, quotes, leads, and contact management.

Although Apptivo was launched in 2009, it constantly refreshes and updates its technology to work effectively and efficiently with modern markets. It strives to be the best solution for small-medium organizations globally. Hence, it’s a very flexible and customizable platform. In the sections below, I’ve further explored its features and what it offers to businesses.

Key Features of Apptivo CRM

Apptivo has many benefits for its users. Hence, it works with over 150,000 organizations located in 194 countries. On top of CRM services, it assists them with managing projects, communication, and invoicing. Let’s see how the Apptivo CRM’s main features work.

Sales Automation

Apptivo CRM software eliminates small tasks that consume time for your sales team through automation tools. The software picks up on repetitive sales tasks and automates them so that teams can focus on what matters. The workflow automation tool is located under the opportunity management section of the CRM suite.

Sales automation is also done through the lead management feature. The system automatically tracks leads and separates strong leads from weak ones so sales personnel know which to focus on. As if that weren’t enough, once you’ve contacted and made a deal with a customer, there’s a deal tracking feature where you can see the progress.

Data Management

When you’ve just started a business and have just a few customers, it’s easy to remember them. You know their usual purchases, when they’ll come, and sometimes their names. This becomes very difficult when your business grows. So, data management in CRM software takes over to help with that.

It does so through tools such as contact management, data customization, and data security. Contact management helps you interact with and understand your customers. It records contact details, communication, and purchase history.

These are constantly updated to keep you up-to-date with the ever-changing customer needs and expectations. Combine this with data customization, and your work is simplified. Customization tools help you separate customers and group them according to your products’ use cases or possible needs. Through data security, you can also customize access levels of this data and authorize who can access it.

Workflow Automation

The workflow automation tool is designed to improve overall productivity and work efficiency. It makes it easier to follow up on reminders and email notifications and automate lead assignments. It enables the automation of business processes, task assignments, and collaboration workflows.

This makes it easier to link work from different departments, so things aren’t all over the place, confusing, and not progressing. With workflow automation, completing tasks becomes smoother, and employees can work hand-in-hand, solve issues quicker, and create a more positive work environment.

Advanced Analytics and Reporting

The Apptivo CRM has analytics and reporting capabilities. It provides insights through reports and data visualization tools. These tools help evaluate overall performance and analyze customer data. So you can increase sales and track your sales team’s progress.

The software collects data, analyzes it, and provides different reports on customers and business performance. Visualization tools such as charts and graphs can help you see how various strategies implemented are working for your business.

You can see which strategies are more effective and where improvement is needed. This allows you to improve strategies within the organization while simultaneously improving customer experience.

Pricing Plan

Before officially joining Apptivo, I had a chance to test it. The site allows free access to and use of all the Ultimate plan features. There’s a 30-day free trial before choosing and paying for a plan. If you decide to continue using the Apptivo CRM system, you can choose from one of its four plans.

In my experience, there are no hidden costs, as there was nothing extra I had to pay after selecting and paying the billing amount shown on the app. The user licensing fee is included in the plan billing amount.

If you want to stop using the CRM after a specific time, you can do so. There is no contract that binds you to it for a certain period of time, and there are no cancellation fees. You can pay using Visa, Mastercard, or PayPal for your chosen plan.

You get 24/7 (excluding phone support, which is 24/5) customer support no matter which plan you choose. Support is available via chatbox, email, and call. Here’s how each plan works:

Lite

The monthly price for the Apptivo CRM Lite plan is $20 per user. However, if you choose to be billed annually, you pay $15 per user. The plan covers the essential features a small sales team needs to manage customer relationships.

These include:

  • 18 CRM apps
  • 12 third-party integration apps
  • 3,000 API Calls per user/day
  • Sales automation features, including product catalog, lead list, and contact management
  • Marketing tools such as referral tracking, email templates, and 2-way email sync
  • Data management features include 1GB storage per user, migration from other CRM, and data backup
  • Access to field and role-based security

Premium

If you’re joining a CRM for the first time and know your business is expanding regularly, then it’s best to choose the Apptivo CRM Premium plan. Each user costs $30 per month, but this can be discounted to $25 when you pay yearly.

Its features include:

  • 46 CRM apps
  • 19 third-party integration apps
  • 5,000 API Calls per user/day
  • All Lite sales automation features plus items e-commerce and relationships
  • All Lite marketing tools plus marketing automation and campaign management
  • Data management includes 3GB storage per user and multiple firm access

Ultimate

The Apptivo CRM Ultimate plan is excellent for larger sales and marketing teams needing proficient automation tools and integrations. It charges $50 per month per user, but you get a $10 discount per user if you pay yearly.

It comes with the following features:

  • 57 CRM Apps

If your business is more complex and doesn’t necessarily fit what’s defined in the plans above, then try the Enterprise plan. The Apptivo CRM allows you to customize this plan to suit your business needs.

This means you’re allowed to play around with all the CRM features to ensure your complex projects are handled efficiently. You discuss all of this with the Apptivo CRM customer support personnel and the pricing, too.

Of course, it has more perks than the other three plans, as you get the following:

  • 65 CRM apps
  • 27 third-party integrations
  • 30,000 API Calls per user/day
  • 15GB data per user
  • Customer support availability is ruled on the service level agreement (SLA)
  • Professional service features include white labeling, dedicated instance, customization, and account manager

Is Apptivo CRM Easy to Use?

The Apptivo CRM has a straightforward and neat user interface. It’s easy to navigate and find all the primary elements of the CRM. The interface outlines in detail the Apptivo CRM features. For instance, on the site’s pricing section, you’ll find all the features under each plan, and there are small info tabs to click on for a quick description.

Also, resources such as the FAQs, starter guide, knowledge base, product updates, blogs, and user manuals are helpful when I get stuck. Customer support is available 24/7.

When you get started using the Apptivo CRM, there’s an onboarding process. Apptivo guides and assists you in setting up for the first six to eight weeks of joining. Through eight stages of implementation, you provide all required documents, import data, configure a prototype, integrate, train, and do everything else needed to settle your business on the platform.

The Apptivo CRM features many integrations to help push sales and manage customer relationships. These include:

Apptivo Customer Service

Customer support is available via:

I’ve had great customer support experience with all contact options, although my favorite, phone support, is only available Monday through Friday.
